(1) The Registrar Office of the Institute and its campuses shall maintain a personal file of every student admitted to the academic programmes at the respective campuses and such personal information shall be kept confidential. The personal file shall contain -
(i) Personal data filled by the student at the time of admission;
(ii) Information about parents and local guardian;
(iii) medical history and fitness certificate submitted at the time of admission;
(iv) all undertakings submitted by the student;
(v) copy of any warning letters or memos etc. issued to the student;
(vi) communication with the student or parent or guardian, if any;
(vii) copy of all evaluation grade sheets and academic progress reportsissued to the students;
(viii) record of admission to the hostel including payment of fees; and
(ix) record of payment of fees of institute and all such other information relevant to the study and campus life of the students.
18. Conduct of Examinations- (1) The Institute shall have credit based evaluation and assessment system, for the students during and at the end of semester conducted by the Jury as under -
(i) credits based evaluation system including correlation between credit units, week units and the corresponding study load in terms of hours per week;
(ii) credits assigned to each course of study;
(iii) credits assigned for co-curricular and extra-curricular activities;
(iv) grading system including grading scales;
(v) components of academic evaluation including coursework and jury;
(vi) parameters and stages of evaluation and assessment, viz., individual course evaluation, semesterend jury assessment, and Design Project assessment;
(vii) pre-requisites governing advancement of a student to the next semester or year; and
(viii) such other rules or guidelines as may be notified by the Institute;
(2) For successful completion of a programme of study, a student shall be required to fulfill credit requirements andevaluation requirements at individual course level, semester-end Jury level and Graduation Project level.
(3) The credits and evaluation norms applicable for undergraduate and postgraduate programmes at the Institute as on the date of notification of these Ordinances shall remain valid for purpose of evaluation under the B. Des and M. Des programmes respectively:
Provided that,any amendment to the credits and evaluation norms shall be approved by the Senate from time to time upon recommendation of the Academic Advisory Committee and shall be notified accordingly.
19. Graduation Design Project - Each student shall undertake a Design Project and demonstrate expertise as independent practitioner of design in the last semester of the respective programme.

20. Academic GrievancesRedressal Committee–(1) The Director shall appoint Academic Grievances Redressal Committee to address grievances relating to academic matters. The Committee shall comprise at least three members of the faculty to be nominated by the Director :
provided, that a faculty member against whom a grievance is made shall not be nominated as a member of such Committee.
(2) Notwithstanding the aforesaid provisions, any grievance related to academic matters shall first be submitted to the Activity Chairperson (Education), who shall resolve the grievance in consultation with the Discipline Lead concerned or the authorities concerned, failing which the grievance shall be addressed to the Grievances RedressalCommittee.
(3) The Grievances RedressalCommitteeshallsubmit its recommendations to the Activity Chairperson- Education.
(4) The outcome of the GrievancesRedressal Process shall be communicated to the student concerned within a month of filing of the grievance.
21. Emergent Cases:Notwithstanding anything contained in the above Ordinances, the Director may, in emergent academic situations, take such decision and action on behalf of the Senate or the Academic Advisory Committee, as deems appropriate and report it at the next meeting of the institutional authority concerned.
